Email and mailboxes

How to create email addresses at your own domain, read your mail, and give every mailbox the same signature.

What you need first

Mailboxes work on a domain you have connected to your Site, like [email protected]. A Site that only has its etweb.dev address cannot have mailboxes. If you have not connected a domain yet, the Email page says so and links you to the Domain page.

Managing mailboxes also needs two-factor authentication on your account. If it is not on yet, the Email page links to your Security page. Each change on the Email page asks for your two-factor code if you have not entered one recently.

The Email page is in your Site’s menu, under "Domain & email".

Receiving mail

The "Receiving mail" box at the top of the Email page shows whether mail for your domain arrives here. When it does, it shows "On".

If it is not on and your domain uses our DNS, click "Set up mail" and we add the records for you. It can take a few minutes for mail to start arriving.

If your domain already receives mail somewhere else, such as Google Workspace, we leave it alone. Mailboxes here will not get anything until you move your email. In that case the page offers "Move my email to etweb.dev". Moving is optional, your current provider keeps working until you do, and you need at least one mailbox first. Copy anything you want to keep from your old provider before you move, because it stops receiving mail.

If you manage your domain’s DNS yourself, the page shows the records to add where your DNS is hosted. If your domain already has an SPF record, add what the page shows to it instead of creating a second one.

Create a mailbox

1. On the Email page, go to "Create a mailbox" and type the part before the @. Use letters, numbers, dots, hyphens or underscores, starting and ending with a letter or number.

2. Leave the password blank and we make a strong one, or choose your own: at least 12 characters, mixing letters, numbers and symbols.

3. Pick the storage per mailbox, then click "Create mailbox".

If we made the password, it is shown once. Copy it and save it straight away, because we do not keep a copy.

Storage, changing it and deleting a mailbox

The most storage one mailbox can have depends on your plan: 512 MB on Starter, 1 GB on Plus and 2 GB on Pro. The choices are 256 MB, 512 MB, 1 GB and 2 GB, up to your plan’s maximum.

Each mailbox in the list shows how much it has used. To change its size, pick a new size beside it and click "Save".

To remove a mailbox, click "Delete". The mailbox and every message in it are deleted permanently and this cannot be undone.

If you make many mailbox changes in a short time, the page asks you to try again in an hour. If your Site is suspended for payment, you can still see and delete mailboxes, but not create or change them.

Reading your mail

Under the mailbox form, the page links to Webmail. Sign in with the full address, like [email protected], and the mailbox password.

Mailboxes are separate from the "cPanel & Webmail" page in the "Hosting" group of your Site’s menu, which is for your hosting account itself.

The company signature

The "Company signature" box sets one signature for every mailbox on the domain, in Webmail. You can pick a design (Modern & Corporate, Minimalist & Clean, Creative & Portfolio, or Sales & Lead-Generation), fill in your company details, and add each person’s details and photo under "People". Or choose "Custom HTML" and write it yourself.

Click "Save and apply". The page shows each mailbox as Applied, Pending, Failed, or "Using their own". A mailbox where the person wrote their own signature in Webmail is left alone unless you tick "Replace everyone’s, including their own". "Re-apply" runs it again and also picks up names people have changed in Webmail.

A new mailbox gets the saved signature automatically. This only sets the signature in Webmail. Outlook, Apple Mail and phone apps keep their own, so the page has a "Copy signature" button for you to paste into those.

Sending mail from your domain

The "Sending domain" page, next to Email in the "Domain & email" group, makes the mail we send for your domain come from your own address and be signed as yours. It has its own guide, linked below.
