Newsletter guide

Everything the newsletter on your Site does, in the order you will meet it.

What you get

Every plan collects sign-ups: a sign-up section on your Site, and on Pro (or with the Newsletter add-on) a timed pop-up. Plus, Pro and the add-on also send campaigns.

Each plan has a subscriber limit and a monthly send allowance (five sends per subscriber). The add-on raises both.

How people subscribe

A visitor enters their email on your Site and receives a confirmation email. They are subscribed only after they press the confirm button on the page that opens. Until then they receive nothing from you.

Someone who unsubscribes, or whose address bounces, can only come back by signing up and confirming again. You cannot re-add them yourself: the choice is theirs by law.

Your subscribers

The Newsletter page lists everyone, with their status. If your list grows past your plan’s limit, sign-ups are still accepted and the newest wait until your limit grows; you are warned at 80% and 100%.

Each subscriber has a consent record: how they joined, when they agreed, and the words they agreed to.

Lists, tags and the welcome email

With Pro or the add-on you can sort subscribers into lists, tag them, add your own fields, and choose who receives each campaign. A welcome email goes to each new subscriber once they confirm; Heminbot can write it for you.

Writing a campaign

A campaign is built from blocks: headings, paragraphs (with bold, italic and links), images, buttons, dividers and spaces. Your Site’s colours and fonts are applied automatically.

Heminbot can draft a campaign from a short description. The draft is added to your editor for you to review; nothing is saved until you press Save. The preview is exactly what your subscribers will receive.

Images

Upload JPEG, PNG or WebP images up to 5 MB. They are resized for email, location data is removed, and each is kept at a permanent address, so old emails keep their pictures.

Every image needs a short description. It is read aloud to people who cannot see it and shown when images are blocked. A campaign cannot be sent until each image has one.

Sending and scheduling

Send now, or pick a date and time in your own time zone. A scheduled campaign can be edited, or its schedule cancelled, until it goes out.

The law requires your postal address in every newsletter. Add it once in Newsletter settings; it is printed in every email with the unsubscribe link.

Results

After a send you see how many emails were delivered, bounced, dropped by the mail service or marked as spam. Clicks are counted when you send from your own domain.

We do not count opens: most email apps now hide or fake them, so the number would mislead you.

Import and export

Import a CSV file with an email column (names optional). You confirm that everyone in it asked to hear from you and say where the list came from; that is kept as their consent record. People who unsubscribed or bounced are never re-added, and each import is capped.

Export downloads everyone with their status, lists, tags and fields as a CSV file.

Sending from your own domain

Until you set up your own sending domain, newsletters come from our address in your Site’s name. Setting up your domain on the Sending domain page makes them come from your own address and turns on click counting.
